The ideal candidate is a master of logistics, possesses excellent written and verbal communication skills, and thrives in a fast-paced environment. You will manage donor records, coordinate campaign committee meetings, and assist with high-level donor communications.

 

POSITION OVERVIEW

The Capital Campaign Coordinator is a full-time, non-exempt-level position. This role provides critical administrative, operational and database support to ensure successful execution of our campaign through its conclusion. This role is ideal for a detail-oriented person who thrives in a fast-paced environment and enjoys supporting donor, volunteer, and staff engagement.

Responsibilities

PRIMARY RESPONSIBILITIES

Campaign Administration & Database Management

  • Maintain the integrity of the campaign donor database Raiser’s Edge, ensuring accurate entry of gifts, pledges, and constituent information. Partner with the IT department and consultant(s) to trouble-shoot issues, maximize reporting accuracy, and suggest process efficiencies.
  • Manage physical and digital campaign files, archive all printed and digital marketing collateral, media, and publications ensuring all records are up-to-date and easily accessible.
  • Coordinate logistics for campaign committee meetings, including scheduling, preparing agendas, compiling meeting materials, and recording minutes.
  • Provide administrative support to the Executive Vice President of Strategic Planning, including calendar management, travel logistics, expense reconciliation, and proposal preparation. Provide back-up clerical support to the Executive Assistant to the President and the Gifts & Stewardship Specialist as needed.

Donor Relations & Communications

  • Create tailored and strategic stewardship communications, including gift acknowledgements, pledge reminders, and thank-you letters.
  • Maintain accurate, confidential records of donor interactions, proposals, and demographic data.
  • Serve as the professional initial point of contact for campaign inquiries via phone and email.
  • Assist in the production and distributing of campaign collateral, newsletters, and published reports.
  • Support the planning, coordination, and execution of campaign events (donor recognition, groundbreakings, and building tours).
  • Support and motivate volunteer work in support of the Campaign.
  • Track milestone dates for donors (i.e., birthdays, anniversaries, follow-up conversation deadlines) and coordinate follow-up outreach.

Financial Tracking & Reporting

  • Process and track campaign pledges and payments in Raiser’s Edge. Partner with the Finance Department to reconcile monthly campaign contributions and generate campaign progress reports.

Qualifications

REQUIREMENTS:

  • Associate or bachelor’s degree preferred, or equivalent combination of education and experience.
  • 3-5 years of administrative experience, preferably in non-profit development, fundraising, event coordination, general development, or a capital campaign environment.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint), Zoom, and Raiser’s Edge or commensurate donor management software/CRMs.
  • Exceptional organizational skills with high attention to detail. Proven ability to manage multiple projects simultaneously and meet strict deadlines.
  • Excellent written and verbal communication skills; ability to interact professionally with donors/donor prospects, board members, volunteers, staff and students.
  • High level of integrity with a proven ability to handle confidential or sensitive information.
  • Ability to work independently and collaboratively in a team-oriented environment.

Physical Requirements

  • Prolonged sitting and computer use
  • Frequent use of hands for typing and office equipment
  • Occasional standing, walking, bending, and reaching
  • Ability to lift/carry up to 10–20 pounds
  • Ability to stand/walk during events as needed
  • Flexibility to work evenings and weekends as needed.
  • Reliable transportation for local travel required.
