POSITION SUMMARY

The Distribution Center Coordinator plays a vital role in the successful operation of our distribution and warehouse functions. Reporting to the Distribution Manager, this position ensures the accurate handling of inventory and shipments through the effective management of lot codes, scheduling, inventory counts, and shipping documentation. The coordinator is also responsible for maintaining quality standards through inspections and compliance with safety and regulatory requirements. The ideal candidate will be detail-oriented, proactive in problem-solving, and collaborative with cross-functional teams to ensure smooth day-to-day logistics operations.

 

Responsibilities

PRIMARY ACCOUNTABILITIES

  • Oversee daily warehouse scheduling to ensure efficient shipping, receiving, and staffing activities.
  • Track and manage lot codes to ensure full product traceability and regulatory compliance.
  • Perform and reconcile inventory cycle counts and audits to maintain accurate inventory levels.
  • Prepare, verify, and process Bills of Lading (BOLs) to ensure accurate and timely shipments.
  • Conduct quality inspections for both incoming and outgoing goods.
  • Enter and maintain data accurately within Warehouse Management Systems (WMS).
  • Support and collaborate with warehouse staff, supervisors, and external vendors to resolve operational issues.
  • Ensure all warehouse practices align with safety regulations and internal policies.

 

PRIMARY TASKS AND DUTIES

  • Manage and maintain lot code integrity across all inventory transactions.
  • Generate accurate shipping documentation, including BOLs, in coordination with carriers and internal teams.
  • Coordinate and interact with OTR/LTL carriers on door assignments, check ins, distribution safety protocol and correct completion of bills and paperwork.
  • Support routine and full inventory audits; identify and reconcile discrepancies.
  • Coordinate with operations and supply chain to optimize warehouse scheduling.
  • Enter and maintain records within WMS; generate inventory, shipping, and quality reports.
  • Monitor and uphold product quality standards through routine inspections.
  • Assist in cross-department communication to ensure accuracy and efficiency in all warehouse operations.

 

ESSENTIAL FUNCTIONS / KEY COMPETENCIES

  • Organizational Skills: Ability to manage multiple schedules, inventory tasks, and documentation requirements.
  • Detail Orientation: Precision in handling lot codes, shipment records, and inventory counts.
  • Communication: Strong written and verbal communication with team members and external vendors.
  • Compliance Awareness: Knowledge of regulatory standards including safety and quality assurance practices.
  • Inventory & Logistics: Skilled in managing inventory control procedures and warehouse flow.
  • System Proficiency: Competent in using WMS and Microsoft Office applications for data entry and reporting.
  • Problem Solving: Ability to identify operational gaps and implement corrective actions efficiently.
  • Quality Assurance: Upholds company quality standards through consistent inspection practices.

Qualifications

POSITION REQUIREMENTS

  • High school diploma or equivalent required; associate’s or bachelor’s degree in logistics, supply chain, or related field preferred.
  • Minimum of 2 years of experience in warehouse operations, inventory management, or distribution coordination.
  • Proficiency in warehouse systems (WMS) and Microsoft Office Suite. Experience in SAGE is a plus.
  • Forklift certification or familiarity with warehouse equipment.
  • Excellent communication, organizational, multitasking, and time management abilities.
  • Strong attention to detail and problem-solving capabilities.
  • Ability to lift up to 50 pounds, stand for extended periods, and work in a fast-paced environment.
  • Familiarity with inventory control best practices and shipping documentation.
  • Commitment to upholding safety and quality standards in warehouse operations.
  • Ability to work overtime as needed.
