The AAVSB is seeking a Licensure Data Associate who is a skilled technical assistant and is responsible for the maintenance of the VIVA database by processing queued data for new and revised records.  The qualified candidate should possess strong database and data analysis acumen, exceptional customer service and interpersonal skills, emotional intelligence, good judgment, and be an extraordinary collaborator.

Responsibilities

Day-to-day activities include:

  • Assist in maintenance of VIVA database by conducting manual updates of continually received submissions from the AAVSB Member Boards and their licensees.
  • Verify entered data by reviewing, correcting, deleting, or reentering alphabetic and numeric data points and reviewing for deficiencies.
  • Resolve data deficiencies by using standard procedures and identify and report queue records requiring advanced troubleshooting to process.
  • Maintain operations by following policies and procedures (e.g., entry priorities).
  • Maintain desk manual on the VIVA database providing draft revisions as needed.
  • Coordinate queue processing and VIVA project tasks with the Licensure Data Manager to achieve on-time processing and scheduled outcomes.
  • Receive and promptly answer incoming emails and telephone calls regarding the VIVA database and, when required, other programs.
  • Maintain a high standard of excellence in customer service to Member Boards and other AAVSB clients which include veterinarians, veterinary technicians, and other stakeholders.
  • Perform other duties as required based on the needs of the AAVSB in support of the member services team and other AAVSB staff and management in assigned project-based work.

WITHIN 1 MONTH, YOU WILL:

  • Establish positive working relationships with AAVSB Staff.
  • Be able to accurately process Member Board submissions with assistance.

WITHIN 3 MONTHS, YOU WILL:

  • Understand AAVSB’s role in veterinary medicine and the AAVSB’s services.
  • Have a good understanding of the roles of the different departments at the AAVSB.
  • Be able to accurately process and review Member Board submissions without assistance.
  • Participate in development, testing, and implementation of new systems within the department.
  • Be able to respond to common customer service questions from Member Boards.

WITHIN 6 MONTHS, YOU WILL:

  • Be able to respond confidently to Member Board questions via phone and email regarding services.
  • Efficiently process and review Member Board submissions.
  • Be able to prioritize workflow needs without assistance.
  • Participate in active collaboration to improve existing and new systems.
  • Participate in active collaboration with tracking data for continuous improvement.

 WITHIN 12 MONTHS, YOU WILL:

  • Be a valuable asset to the department with accurate and efficient work habits.
  • Be a positive personality that demonstrates teamwork and collaboration.
  • Be able to ‘hold down the fort’ in the absence of co-workers.
  • Provide impactful insight into licensee and program needs.

Qualifications

Job Qualifications to be successful in this role:

  • Provide strong accuracy in typing and 10-key data entry.
  • Exercise keen attention to detail to verify data point matches and manually process queued database records.
  • Maintain high level of attention to detail while performing highly repetitive tasks.
  • Use organizational and time management skills to manage a variety of time-sensitive tasks with varying technical proficiency in VIVA database assistance.
  • Understand the basics of data analysis and report on changing queue metrics.
  • Be self-motivated, detail oriented, and diligent.
  • Work independently from remote location, comfortability in learning and using digital tools to successfully fulfill duties, communicate, and collaborate with others.
  • Provide excellent customer service, strong written and oral communications skills.
  • Maintain confidential information and do so with professionalism and discretion.
  • Establish and maintain effective working relationships with fellow AAVSB staff, Member Board contacts, and all other stakeholders.

 

Experience

 

Required: Minimum of one year of demonstrable experience in data-focused administrative or technical role. Experience may be substituted by relevant education or certifications.

Preferred: One or more years relevant experience in a nonprofit association, education or credentialing setting, or similar environment. Advancing skills in data processing or data management proven by career and/or educational development.

 

Details

 

This is a full-time and non-exempt position. Work is performed under the direction of the Licensure Data Manager.

 

Salary Range: $40,000 - $44,000

The AAVSB is headquartered in Overland Park, Kansas. This position may be virtual/remote with the understanding that there may be required company-paid travel to Overland Park, Kansas throughout the year.
