CarePortal is currently seeking a Field Operations Coordinator to be based out of Kansas City, Missouri. 

 

This Full-Time Field Operations Coordinator will provide administrative support and coordination for ongoing Field Operations activities and special projects. This role will be responsible for ensuring the smooth functioning of administrative processes including office management, recordkeeping, logistics, and communication. The Field Ops Coordinator will work closely with Field Directors to ensure efficient and effective implementation and will serve as a central point of contact for field related matters. This team member needs to possess excellent organization, communication, and problem solving skills, as well as the ability to work independently and to multitask in a fast paced environment.

Responsibilities

  • Prepare and edit documents, presentations, reports, and other materials as required by the VP & Director of Field Ops (“senior leaders”), ensuring accuracy and attention to detail.
  • Plan & coordinate meetings and small events, including transportation logistics, venue selection, accommodations, agenda preparation and participant coordination.
  • Serve as a liaison between the senior leaders and internal/external stakeholders, maintaining effective communication, fostering positive relationships & ensuring task completion.
  • Provide active support to the six Field Directors (FD’s), including coordination for regular FD meetings and calls, working to strengthen unity between the FD’s and Home Office teams.
  • Assist with special projects and initiatives as assigned by senior leaders, coordinating and collaborating with cross-functional teams as necessary.
  • Track and manage senior leaders’ calendars, travel needs and expense reports.
  • Facilitate effective communication and information flow between field teams, project managers, and other stakeholders.
  • Maintain and update project databases, spreadsheets, and other relevant documentation.
  • Support recruitment and onboarding of field staff, including collecting and reviewing applications, coordinating interviews, and assisting with onboarding where necessary.
  • Other duties as assigned

Qualifications

  • Proven experience as an executive assistant or in a similar administrative role.
  • Strong organizational and time management skills with the ability to multitask and prioritize effectively.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams and stakeholders.
  • Proficiency in using office software and tools, including word processing, collaboration, spreadsheet, and presentation software.
  • Strong problem solving skills and the ability to adapt to changing priorities and fast-paced environments.
  • Exceptional attention to detail and accuracy in work.
  • Proactive ability to anticipate needs and provide solutions.
