    OMNI has been retained by Look East in their search for an Administrative Assistant.  Look East is a full-service public relations agency dedicated to growing consumer trust in the food and agriculture industry. With offices in Gladstone, MO and Des Moines, IA, Look East is made up of passionate individuals with diverse communication expertise. 

     

    Reporting to the Business Manager, the Administrative & Staff Support Assistant is responsible for providing day-to-day administrative support and overall organization to the President and account management teams. 

    Responsibilities

    • Provide overall office organization for the President to include calendar management, tracking of concurrent deadlines/dates and follow up as needed to ensure the timely preparation/completion of deliverables.
    • Expense reporting for the President.
    • Responsible for the scheduling, logistics and execution of speaking engagements, events and meetings.
    • Manage purchasing of office supplies.
    • Manage vendors for office equipment, i.e., copier, coffee and water systems, phone and internet, etc.
    • Maintain NEON client CRM system; membership, campaign and event records.
    • Administer online travel service accounts for staff.
    • Format and edit PowerPoint presentations for client meetings.
    • Open and log incoming checks for processing.
    • Manage maintenance and scheduling for Company condo.
    • Assist Business Manager with HR tasks as needed.
    • Complete all responsibilities in a professional, timely, accurate and efficient manner to meet organizational and client goals.
    • Analyze, prioritize and execute assigned administrative responsibilities in collaboration with project teams and President.
    • Assumes responsibility without being asked.
    • Adapts to changing workflow and assigned duties as needed.
    • Develops processes/procedures as needed to facilitate workflow.
    • Communicates with internal and external partners in a timely, professional, appropriate and precise manner.
    • Builds and maintains appropriate internal and client relationships; addressing and resolving concerns as needed in a timely manner.
    • Acts in a stewardship capacity for the Company, works as a functional member of the team, has ability to self-direct and self-regulate work-day;

     

    Qualifications

    • 3 + years directly supporting senior level staff in an administrative support role
    • Proficiency with MS Office, Word, Excel and PowerPoint
    • Experience maintaining a CRM, preferably NEON
    • High level of attention to detail and ability to prioritize workflow within established time limits and ongoing deadlines
    • Effective and professional verbal and written communications skills
    • Associates degree in a relevant field is preferred.
